User Guide

Everything you need to know to get the most out of Willventory — your personal estate inventory app.

Getting Started

Download the App

Willventory is available on iOS. Download it from the App Store and open it to begin cataloging your personal property.

Partner Code (Optional)

When you first open the app, you'll be asked if you have a partner code from a law firm or estate planner. If you have one, enter it to link your account with your attorney's firm for co-branded exports. If you don't have one, just tap "I don't have a code" to skip.

Create an Account

You can start using Willventory without an account — your items are stored locally on your device. However, creating a free account lets you sync your inventory across devices, access exports, and unlock more features. You can sign up anytime from the Profile tab.

Adding Items

How to Add an Item

Tap the "Add" tab in the bottom navigation bar. Start by taking a photo of your item or selecting one from your photo library. Then fill in the item details — name, description, estimated value, and who should receive it (the beneficiary).

Using AI to Auto-Fill Details

After adding a photo, tap the AI button to have Willventory automatically identify the item and fill in the name and description for you. You'll be asked to consent the first time — your photo is sent to a third-party AI service for identification, but it is not stored after processing.

Adding Multiple Photos

Each item supports a primary photo and additional photos. After adding your first photo, you can tap to add more images to fully document the item from different angles.

Setting a Beneficiary

A beneficiary is the person who should receive the item. Tap the beneficiary field to search your existing beneficiaries or create a new one. This makes it easy to assign the same person to multiple items.

Duplicate Detection

When you use AI to fill in item details, Willventory automatically checks if a similar item already exists in your inventory. If a potential duplicate is found, you'll be asked whether to go back or add it anyway.

Managing Your Inventory

Viewing Your Items

The Home tab shows all your items. You can switch between grid view (photo cards) and list view using the toggle at the top of the screen. Your preferred view is remembered for next time.

Searching Items

Use the search bar at the top of the Home tab to quickly find items by name, description, or beneficiary.

Sorting Items

In list view, you can sort items by name, estimated value, or beneficiary. Tap the sort button to toggle between ascending and descending order.

Editing an Item

Tap any item to view its details, then tap "Edit" to update the name, description, value, beneficiary, or photos.

Sharing & Exporting

Email Your Inventory

From the Profile tab, you can email yourself a copy of your inventory. Choose from three formats: a standard summary, a trust-ready PDF snapshot (ideal for filing with legal documents), or a full ZIP backup that includes a spreadsheet, photos, and metadata.

Living Trust Link (Pro)

Pro users get a special "always up to date" share link. Anyone with the link sees the latest version of your inventory — no need to re-export every time you make a change. You can share this link with your attorney, executor, or family members.

QR Code Sharing (Pro)

Your living trust link comes with a QR code that you can print and include with your physical estate documents. Anyone who scans it will see your most current inventory.

PIN Protection (Pro)

For extra security, you can enable a 4-digit PIN on your share link. Anyone who opens the link will need to enter the PIN before viewing your inventory. If someone enters the wrong PIN too many times, the link is temporarily locked.

Rotating Your Link (Pro)

If you ever want to invalidate an old share link, you can rotate it from the Profile tab. This generates a new link and QR code, and the old one will stop working immediately.

Plans & Pricing

Free Plan

Get started at no cost. The free plan includes up to 25 items and 10 AI credits per month. Perfect for getting a feel for the app and starting your inventory.

Plus — $14.99 (one-time)

Upgrade to Plus for up to 100 items and 100 AI credits per month. Great for households with more belongings to catalog. This is a one-time purchase — no subscription.

Pro — $49.99 (one-time)

Go Pro for unlimited items, unlimited AI credits, PDF exports and reports, the always-up-to-date share link with QR code and PIN protection, and priority support. Also a one-time purchase.

How to Upgrade

You can upgrade anytime from the Profile tab or by tapping the upgrade banner on the Home screen. Your purchase is processed securely through the App Store.

Gamification

Making It Fun

Once you've added 3 or more items, Willventory will invite you to "make it a game." Turning on gamification adds points, streaks, and badges to motivate you to complete your inventory.

Earning Points

You earn points every time you add an item. Bonus points are awarded for including a photo, a description, an estimated value, and a beneficiary — so more complete items earn more points.

Streaks

Log items on consecutive days to build a streak. The longer your streak, the more progress you show. Your longest streak is saved as a personal best.

Badges

Unlock badges as you hit milestones — like adding your first item, reaching 10 items, completing a streak, and more. Check your badges in the Game tab. New badges are highlighted so you don't miss them.

Leaderboard

See how you compare to other Willventory users. The leaderboard ranks users by points, number of items, completeness, and streak length.

Turning It Off

Gamification is completely optional. You can toggle it on or off anytime from the Game tab or from your Profile settings. Your progress is always tracked in the background, so if you turn it back on, your stats are still there.

Partner Firms

What is a Partner Code?

If your estate planning attorney or law firm is a Willventory partner, they may give you a partner code. Entering this code links your account to their firm.

What Linking Does

When you're linked to a partner firm, your PDF exports and trust-ready documents will include the firm's branding — their logo, name, and contact information — making your documents look professional and complete.

How to Link or Unlink

You can enter a partner code during onboarding or later from the Profile tab. If you need to unlink from a firm, you can do that from Profile as well.

AI Features

AI Item Identification

Take a photo of any item and Willventory's AI can automatically identify it, filling in the name and description for you. This saves time and helps ensure your inventory is detailed and accurate.

Privacy & Consent

The first time you use AI, you'll be asked to consent. Your photo is sent to a secure third-party AI service (OpenAI or fal.ai) for analysis. The photo is not stored by these services after processing.

AI Credits

Each AI identification uses one credit. Free users get 10 credits per month, Plus users get 100, and Pro users get unlimited credits. Credits reset approximately every 30 days.

When Credits Run Out

If you've used all your AI credits for the month, you'll be prompted to upgrade your plan or wait for your credits to reset at the start of the next cycle.

Account & Security

Your Data is Safe

All passwords are securely hashed, data is transmitted over encrypted connections, and photos are stored on a secure CDN. We take your privacy seriously.

Syncing Across Devices

Create an account to sync your inventory across all your devices. Sign in on a new device and all your items, photos, and settings will be there.

Deleting Your Account

If you ever want to delete your account, go to the Profile tab, scroll to the bottom, and tap "Delete Account." This permanently removes all of your data — items, photos, and account information — from our servers. This action cannot be undone.

Tips & Best Practices

Be Thorough

The more detail you add to each item — photos, descriptions, values, and beneficiaries — the more useful your inventory will be for estate planning. A complete inventory makes things much easier for your family and attorneys.

Use AI to Speed Things Up

Don't type everything manually. Snap a photo and let AI fill in the basics, then review and adjust as needed. It's much faster.

Assign Beneficiaries Early

Even if you're not sure yet, assigning a beneficiary to each item helps you think through your wishes. You can always change it later.

Export Regularly

Email yourself a backup periodically — especially the ZIP format — so you always have an offline copy of your inventory. Pro users can rely on the always-up-to-date share link instead.

Share with Your Attorney

If you have a Pro plan, share your living trust link with your estate planner. They'll always see the latest version without you having to resend anything.
